Be sure to denote which of the two meeting rooms your PCs are in. There is one on the Stormchaser and one on the Ark of Yamoto. Once the meeting starts the holo displays in the rooms will allow all the PCs to communicate with each other, but PCs can only physically interact with those in the same room.
