Well, I was figuring that because the rest of someone's equipment and clothing changes, whether the orb is still carried by the person when they transform is up to them. Usually, it vanishes so that the person doesn't have to worry about losing it and has both hands free, but occasionally someone will keep the orb around when they transform.
If one believes they should learn more before continuing on, or if they wish to become a member of the staff, then they can continue to learn from one of the three masters until they decide they have learned enough or become the equal of their master. As such, your character having already passed is acceptable.
Not sure which of the three masters he'd learn from yet. I'll let you know when I figure it out.
First there's the master who made the academy, Master Gratso. He's humanoid, but his species isn't so much as named, and it is widely speculated that he was actually part demon. He's serious and has a strong sense of justic. His element is nature, and he's skilled at sword fighting and survival skills.
Second is Master Gregory. Basically a lax kind of man who specialises in unarmed combat and magic, with the energy element.
Finally, there's Master Conrad, who specialises in agility and archery. He's a mind specialist who is serious yet not really uptight.
I'm thinking there might be other teachers as well, but the masters are the primary three, and are the people to go to if one wants further training or has an issue.
The orbs are made of thick and strong glass, but appear to contain their owner's element (a fire orb appears to have a flame in it, for example). If the element is solid and sufficient in strength, the orb might instead become that element.

If an orb is destroyed, then the Orbkeeper who it belonged to will not be able to use their powers short of getting another or getting someone powerful enough to repair it, both incredibly difficult tasks given how rare the orb is. Other side effects may occur to those with particularly strong bonds to their orb or those who have lost them before, but usually nothing too bad.
An easy way to speed it up is have one of the masters/NPC's come into the room and say the trials are going to start soon and then people will naturally wrap up what's going on, in theory. That's just my two cents since socializing will come throughout the story anyways I'd think.

I suppose. However, I'm worried about Metagaming because even though we all know we shouldn't do it, it happens subconsciously sometimes...
The attacks should be a surprise to the characters, but not to us. You know what I mean?

That said, we should include a lot of detail in power-related actions, without going into Magi Babble territory, of course.
